This guide explains Volvicon's tier-based licensing model and helps you select the right edition for your needs.

Volvicon uses a tier-based licensing model where features are unlocked based on your license tier. This approach simplifies license management while providing clear upgrade paths.

Volvicon organizes features across 11 ribbon tabs:

  1. File Tab – Project management (new, open, save, close), file import/export (3D images, DICOM, image stacks, masks, CAD/STL, volume meshes, another project), media capture (video recording, screenshots, print), and application preferences.

  2. Not a Medical Device

Volvicon is NOT a medical device and has NOT received any regulatory certifications (FDA, CE, or equivalent). The software is NOT intended for clinical diagnosis, treatment planning, or any medical decision-making.

Medical editions (StandardMedical, ProfessionalMedical, UltimateMedical) are reserved for future use and are not currently available. When released, these editions will be designed for eventual regulatory compliance but must not be used for clinical purposes until proper certifications are obtained.

Upgrading Your License

Tier Upgrades

You can upgrade from any tier to a higher tier at any time:

  • Standard → Professional: Unlock volume mesh tools, AI segmentation, and Custom Scripting (including CLI --py_script and custom ribbon script buttons)
  • Professional → Ultimate: Unlock all features, priority support

Upgrades are prorated based on your remaining subscription time or offered at a fixed upgrade price for perpetual licenses.

Adding Modules

Add-on modules can be added to any existing license. Contact sales for pricing.

What is the difference between an Annual and Perpetual License?

Volvicon offers two licensing models to fit different organizational needs and budgeting preferences:

Annual Licenses (Subscription)

Annual licenses, also known as subscription licenses, offer several advantages:

  • Cost Distribution: License fees are spread evenly over the contract period, making budgeting more predictable
  • All-Inclusive: All updates, upgrades, and technical support are included in the annual fee
  • Always Current: Automatic access to new features and improvements as they're released
  • Budget-Friendly: Often the most cost-effective solution, especially for short to medium-term projects
  • Operational Budget: Typically purchased from operating budgets, which are often easier to access than capital budgets
  • Flexibility: Easier to scale up or down based on changing project needs

Perpetual Licenses (One-Time Purchase)

Perpetual licenses provide long-term ownership:

  • One-Time Investment: Single upfront payment for permanent usage rights
  • Long-Term ROI: Can provide the best return on investment over extended periods (3+ years)
  • Capital Budget: Generally purchased from capital budgets
  • First Year Maintenance: Includes updates, upgrades, and technical support for the first year
  • Optional Maintenance: Additional maintenance coverage can be purchased annually to continue receiving updates and support
  • Independence: Software remains functional even if maintenance is not renewed

Which Should You Choose?

  • Annual License: Best for projects with defined timelines, teams that need the latest features, or organizations preferring predictable operational expenses
  • Perpetual License: Best for long-term investments, organizations with accessible capital budgets, or stable workflows that don't require frequent updates
Who can use Volvicon free-of-charge?

Volvicon offers complimentary licenses to qualified individuals and organizations for specific non-commercial purposes.

Research License Guidelines

Research licenses are granted free-of-charge to qualified researchers and academics under these conditions:

  • Eligibility: Faculty members, research scientists, postdoctoral researchers, and graduate students affiliated with accredited academic or research institutions
  • Permitted Use: Non-commercial academic research, scholarly study, and development for research purposes only
  • Feature Access: Ultimate-tier feature access, including all advanced capabilities
  • License Duration: Typically one (1) year, renewable annually at no charge with verification of continued eligibility
  • Publication Rights: Research results may be published in academic papers, journals, and conferences
  • Institutional Verification: Requires valid institutional email address and proof of academic affiliation
  • Not Permitted: Any commercial use, contract research for industry partners, or revenue-generating activities

Student License Guidelines

Student licenses are provided free-of-charge to enrolled students:

  • Eligibility: Currently enrolled undergraduate or graduate students at accredited educational institutions
  • Permitted Use: Educational purposes, coursework, thesis projects, and academic learning only
  • Feature Access: Professional-tier feature access
  • License Duration: Typically one (1) year, renewable with proof of continued enrollment
  • Verification Required: Valid student ID and institutional email address

Important Notes

  • Granting of free licenses is at Volvicon's sole discretion
  • There is no general obligation to provide free licenses
  • Applications are evaluated based on genuine academic or educational merit
  • Activities undertaken for financial gain, commercial advantage, or producing works for commercial use require a commercial license
  • Contract research funded by commercial entities requires a commercial license, even if conducted at academic institutions

How to Apply

To request a Research or Student license, visit the license portal and complete the appropriate application form with verification documents.

How do I convert the Trial version to the full version?

Converting your Trial license to a full commercial or academic license is straightforward:

For Commercial Users

  1. Choose Your Edition: Determine which tier (Standard, Professional, or Ultimate) meets your needs based on the feature comparison tables above
  2. Select License Model: Decide between Annual (subscription) or Perpetual licensing
  3. Purchase License: Contact sales@volvicon.com or visit the license portal to purchase
  4. Receive License File: After purchase confirmation, you'll receive your license file (.lic) via email
  5. Apply License: In Volvicon, open the License Manager (Help tab → Register Product), select "Existing license," browse to your .lic file, and activate
  6. Start Working: Trial restrictions are removed and your selected tier features are activated

For Non-Commercial Users (Research/Student)

  1. Determine Eligibility: Verify you qualify for a Research or Student license (see "Who can use Volvicon free-of-charge?" above)
  2. Apply for License: Visit the license portal and complete the appropriate application form
  3. Submit Documentation: Provide required verification (institutional email, student ID, faculty verification, etc.)
  4. Generate Hardware Key: Follow the license activation process to generate and submit your hardware key (.dat file)
  5. Await Approval: Applications are typically processed within 24-48 hours
  6. Receive License: Once approved, download your license file from the portal
  7. Activate: Apply the license file through the License Manager to lift all restrictions

Seamless Transition

Your existing Trial projects and data remain compatible—activate your new license and continue working without interruption.

What are the limitations of the Trial version?

The Trial version provides full Ultimate-tier feature access with restrictions appropriate for evaluation purposes.

Trial License Characteristics

  • Duration: 30-day evaluation period starting from first launch
  • Feature Access: Full Ultimate-tier feature access—all tools, modules, and capabilities are available for testing
  • Use Restriction: Non-commercial evaluation only; not licensed for production work, commercial projects, or deliverable output
  • Watermarked Exports: All exported images, videos, and 3D models include visible Volvicon trial watermarks
  • Project Compatibility: Projects created during the trial remain accessible after converting to a full license
  • No Data Loss: All your work is preserved when upgrading to a commercial or academic license
  • Full Performance: No performance throttling or artificial limitations on processing speed
  • Technical Support: Limited trial support via documentation and community forums

After Trial Expiration

When the 30-day trial period ends:

  • Volvicon will display a notification indicating the trial has expired
  • You cannot launch the software or access your projects until a valid license is applied
  • Your project files and data remain intact and accessible once you activate a full license
  • No data is deleted or corrupted

Extending Your Evaluation

Trial licenses cannot be extended. If you need additional evaluation time, please contact sales@volvicon.com to discuss your requirements.

Which features are included in Standard?

The Standard license provides visualization and analysis capabilities suitable for most professional workflows:

Yes! The Trial license provides Ultimate-tier access for 30 days, allowing you to evaluate all features before making a purchase decision.

Do Research licenses have any restrictions?

Yes, Research licenses come with specific usage restrictions to ensure they're used for their intended academic purpose:

Permitted Uses

  • Academic Research: Non-commercial research conducted at universities, research institutes, and academic laboratories
  • Scholarly Activities: Research not undertaken for financial gain, commercial advantage, or other monetary reward
  • Publications: Results may be freely published in academic journals, conference proceedings, theses, and dissertations
  • Teaching Support: May be used to generate materials for courses and educational lectures
  • Collaborations: Academic collaborations between multiple institutions are permitted

Prohibited Uses

  • Commercial Projects: Any work that generates revenue or commercial products
  • Contract Research: Research conducted under contract with commercial entities, even at academic institutions
  • Product Development: Development of commercial products, services, or processes
  • Consulting Work: Paid consulting services or analysis for external clients
  • Clinical Applications: Any clinical, diagnostic, or patient care activities (Volvicon is not a medical device)
  • Startup Companies: Use by university spinouts or startup companies requires a commercial license

Key Restrictions

  • Institutional Affiliation Required: Valid academic or research institution affiliation must be maintained
  • Annual Renewal: Must reconfirm eligibility annually to renew the license
  • Institutional Email: Must use institutional email address for registration
  • Verification: May require documentation of research projects and funding sources
  • Single User: Research licenses are typically single-user, node-locked licenses

Gray Areas to Avoid

If your academic research is funded by industry, involves developing commercializable technology, or may lead to patents or products, contact licensing@volvicon.com to determine if a Research license is appropriate or if a commercial license is required.

Feature Access

Despite these restrictions, Research licenses provide Ultimate-tier feature access, ensuring academic users have access to all capabilities for their research.

What happens if I downgrade my license tier?

Downgrading to a lower tier affects your access to tier-specific features but preserves your existing projects and data:

Immediate Effects

  • Feature Access: Higher-tier features become unavailable and appear grayed out in the interface
  • Existing Projects: All projects remain openable and viewable
  • Data Preservation: No data is deleted or corrupted
  • Ribbon Interface: Tier-specific ribbon buttons and tools are disabled

Specific Tier Downgrade Scenarios

Ultimate → Professional

  • Minimal impact, as most features overlap
  • Any Ultimate-exclusive features (if applicable) become unavailable

Professional → Standard or Ultimate → Standard

  • Volume Meshes: Existing volume meshes remain viewable but cannot be edited, regenerated, or exported to FEM formats
  • AI Segmentation: Cannot run AI segmentation models; existing AI-generated masks remain editable as regular masks
  • Custom Ribbon Buttons: Custom buttons are removed from the interface; underlying scripts remain in project folders

Re-Upgrading

If you later upgrade back to a higher tier, all previously created tier-specific data becomes fully functional again—nothing is permanently lost.

Before downgrading, export any critical volume meshes or FEM models to ensure you have access to finalized data. Contact sales@volvicon.com if you have questions about the impact of downgrading on your specific workflows.

Can I transfer my license to a different computer?

Yes, Volvicon licenses can be transferred between computers, but the process varies based on your license type:

Node-Locked Licensing

Volvicon uses hardware-based node-locked licensing, meaning each license is tied to specific computer hardware via a unique hardware key.

Transfer Process

  1. Deactivate on Original Computer: Contact licensing@volvicon.com to request license deactivation
  2. Install on New Computer: Install Volvicon on your new computer
  3. Generate New Hardware Key: Launch Volvicon and generate a new hardware key (.dat file) for the new computer
  4. Request New License File: Submit the new hardware key through the license portal or via email
  5. Receive Updated License: You'll receive a new license file (.lic) tied to the new hardware within 24 hours
  6. Activate: Apply the new license file to activate Volvicon on the new computer

Important Considerations

  • One Computer at a Time: Node-locked licenses can only be active on one computer at a time
  • Hardware Changes: Significant hardware changes (motherboard replacement, CPU upgrade) may require license reactivation
  • Transfer Limits: Frequent transfers may require verification to prevent license abuse
  • Uninstallation: You should uninstall Volvicon from the original computer, though the license remains inactive either way

Multiple Computers?

If you need to run Volvicon on multiple computers simultaneously, you have two options:

  1. Multiple Licenses: Purchase separate licenses for each computer
  2. Volume Licensing: Contact sales@volvicon.com for multi-seat volume licensing discounts

Network/Floating Licenses

Volvicon does not currently offer network floating licenses. Each license is node-locked to specific hardware.

How do I add the CT Reconstruction module to my existing license?

The CT Reconstruction module is an optional add-on that can be added to any license tier (Standard, Professional, or Ultimate):

Purchase Process

  1. Contact Sales: Email sales@volvicon.com with your current license information
  2. Specify Requirements: Indicate that you want to add the CT Reconstruction module
  3. Receive Quote: You'll receive pricing based on your current license tier and model (annual vs. perpetual)
  4. Complete Purchase: Process payment and receive purchase confirmation

Activation

  1. Updated License File: You'll receive a new license file (.lic) that includes the CT Reconstruction module
  2. Apply License: In Volvicon, use the License Manager (Help tab → Register Product) to apply the updated license file
  3. Verify Activation: The CT Reconstruction tools will appear in the Advanced tab once the module is activated

What updates and support are included with my license?

The updates and technical support included with your license depend on your license model and tier:

Annual Licenses (All Tiers)

Annual subscriptions include the following for the entire subscription period:

  • Updates: Minor updates, bug fixes, and security patches
  • Upgrades: Major version upgrades with new features at no additional cost
  • Technical Support: Technical support via email, support portal, and documentation
  • Priority Support: Ultimate tier includes priority support with faster response times
  • Cloud Portal Access: Access to the license management portal
  • No Additional Fees: Everything included in the annual subscription price

Perpetual Licenses

Perpetual licenses include different coverage based on maintenance status:

First Year (included with purchase):

  • Updates and upgrades
  • Technical support
  • Portal access

After First Year:

  • Without Maintenance Renewal: Software continues to function with the last received version; no updates, upgrades, or technical support
  • With Maintenance Renewal: Annual maintenance fee provides continued access to updates, upgrades, and support

Maintenance Renewal Pricing

Annual maintenance for perpetual licenses is typically 18-22% of the current license price. Contact sales@volvicon.com for current maintenance renewal pricing.

Research and Student Licenses

  • Updates/Upgrades: Included for the license period (typically 1 year)
  • Support: Community support and documentation access; limited direct technical support
  • Renewal: Must reconfirm eligibility annually to receive continued updates

Update Delivery

Updates are delivered through:

Can I use Volvicon for clinical or medical purposes?

No. Volvicon is NOT a medical device and must NOT be used for any clinical or medical applications.

Regulatory Status

Volvicon has not received regulatory approval from any medical device authority including:

  • FDA (United States Food and Drug Administration)
  • European Medical Device Regulation (MDR)
  • PMDA (Pharmaceuticals and Medical Devices Agency, Japan)
  • Any other national or international medical device regulatory body

Prohibited Medical Uses

Volvicon must never be used for:

  • Clinical diagnosis or patient assessment
  • Treatment planning or surgical planning
  • Medical decision-making of any kind
  • Processing patient data for clinical purposes
  • Any healthcare or patient care applications
  • Clinical trials or clinical research

Permitted Uses

Volvicon is intended for:

  • Manufacturing and Quality Control: Non-destructive testing, dimensional inspection, materials analysis
  • 3D Printing and Additive Manufacturing: Pre-print analysis, geometry optimization, post-print inspection
  • Life Sciences Research: Non-clinical biomedical research, materials science, engineering research
  • Product Development: Design, prototyping, reverse engineering, industrial applications
  • Academic Research: Non-clinical research in engineering, materials science, and related fields
  • Educational Purposes: Teaching and learning in academic settings

Medical Editions (Future)

Medical editions (StandardMedical, ProfessionalMedical, UltimateMedical) are reserved for future development and are not currently available. Even when released, these editions must undergo regulatory certification before clinical use.

Legal Liability

Using Volvicon for medical purposes violates the End-User License Agreement and exposes users to significant legal liability. Volvicon Software accepts no responsibility for any medical use of the software.
