Volvicon License Registration Guide
Overview
This guide provides step-by-step instructions for registering and activating your Volvicon software license. Volvicon uses node-locked hardware-based licensing to ensure software authenticity. Each license is uniquely tied to your computer's hardware configuration via a hardware key.

Prerequisites
- Windows operating system (Windows 10 or later)
- Administrative privileges on your computer
- Internet connection for account registration and license download
- Email access for license notifications
License Activation Process
To activate your node-locked license, follow these 14 steps:
- Create an account on the Volvicon license portal
- Go to the Download page by clicking "Downloads" on the left sidebar Downloads and download the desired version of Volvicon (expected file size: 550MB+).
- Once the download is complete, install Volvicon.
- Once the installation is complete, run Volvicon for the first time. The License Manager dialog will automatically appear.
- Select the first option in the License Manager to access the registration form.
- Fill in the required fields in the registration form and click Save to generate and save the
.datfile (hardware key). - Log in to your account on the license portal and navigate to the Licenses page to find the Request License button.
- Fill in the required fields and upload the
.datfile (hardware key) you saved from the License Manager. Look for the "Drag & Drop or Click to Upload" area. - Once the
.datfile is uploaded and all required fields are completed, click the Submit Request button. - Allow up to 24 hours for your request to be processed.
- When your license file is ready, it will be uploaded to your account and you'll receive an email notification with the license file (
.licformat). - Download the license file and save it on the same PC where the hardware key was generated.
- Run Volvicon again. The License Manager should appear. Select the second option under Existing license section, click Browse, and select the license
.licfile. Verify the license information is correct, then click Go Back to complete the process. - Close the dialog and start using Volvicon. Your license is now activated.

Part 1: Generating Your Hardware Key
The hardware key is a unique identifier created from your computer's hardware configuration. This ensures your license is securely bound to your specific system.
Step 1: Download and Install Volvicon
- Download the latest Volvicon installation package from the official website
- Run the installer with administrative privileges
- Follow the installation wizard to complete the installation
Step 2: Launch Volvicon
- Start Volvicon from your Start Menu or desktop shortcut
- When a valid license is not detected, the License Manager dialog appears automatically

The License Manager provides two options:

| Apply for a new license | Generate a hardware key file through the registration form |
| Existing license | Apply a license file you have already received to check its status |
Step 3: Create Your Registration Form
- Select Apply for a new license
- Click Next to proceed to the registration form

Step 4: Complete the Registration Form
Fill in the required information:

The Hardware key field displays your system's unique identifier (read-only).
Step 5: Save Your Hardware Key
- Click the Save button to save your hardware key file
- Choose a secure location to save the file
- The hardware key file will be saved with a
.datextension
Keep your hardware key file secure. You will need to upload this file to the license portal.
Part 2: Requesting Your License
Step 1: Create an Account
- Open your web browser and navigate to the Volvicon license portal:
https://manage.volvicon.com/register - Create a new account with your email address
- Verify your email address by clicking the link in the confirmation email
Step 2: Request Your License
- Log in to your account on the license portal
- Navigate to the Licenses page and click Request License
- Fill in the required fields and upload the hardware key file (
.dat) you saved from the License Manager - Click Submit Request to submit your license request
Step 3: Wait for Processing
- License requests are typically processed within 24 hours
- You will receive an email notification when your license file is ready
- The license file will be available for download from your account
Part 3: Applying Your License File
Once you receive notification that your license is ready, follow these steps to activate your software.
Step 1: Download Your License File
- Log in to your account on the license portal
- Download the license file to the same computer where you generated the hardware key
- Save the file in a secure, permanent location
The license file must be applied on the same computer where the hardware key was generated. The license will not work on a different machine.
Step 2: Launch Volvicon
- Start Volvicon
- The License Manager dialog will appear
Step 3: Import Your License File
- Select Existing license option
- Click Browse to locate and select your license file

- The system will automatically validate and load the license file
- Verify the license information displays correctly
Step 4: Verify License Information
Once imported, verify the license information displays correctly:
License Information:
- Type: License tier (Standard, Professional, Ultimate, etc.)
- Serial: Your license serial number
- License-id: Unique license identifier
- Issue: License issue date
- Expire: License expiration date (if applicable)
Feature Access: Your license tier determines which features are available:

| Standard | Standard core features include image processing, visualization, segmentation, surface‑mesh tools, measurement functions, and primitive‑handling capabilities |
| Professional | Standard features + Volume Mesh Tools, AI Segmentation, and Custom Scripting (including custom ribbon script buttons and CLI --py_script) |
| Ultimate | All features + priority support, enterprise capabilities |

Step 5: Complete Activation
- Verify the status shows a valid license (green text "License available")
- Click Activate to complete the activation process
- Volvicon will now start with full functionality based on your licensed modules
Troubleshooting
Common Issues and Solutions

| Invalid Hardware Key | Ensure you're applying the license on the same computer used to generate the hardware key. If hardware was changed, generate a new hardware key and request a license transfer. |
| License File Not Found | Verify the file path and ensure the license file has not been moved or renamed. |
| License Shows as Expired | Contact us for license renewal. Verify your system date and time are correct. |

Hardware Changes
Major hardware changes (motherboard, CPU) will invalidate your license. Before making significant hardware modifications:
- Contact support to discuss license transfer options
- Generate a new hardware key after hardware changes
- Request license re-issuance through the license portal

- Keep a backup copy of your license file in a secure location
- Store your hardware key file for reference
- Document your license details including expiration dates
Security Considerations
- License files are encrypted and tied to specific hardware
